Enhancing Your Workflow with Database Automations

Database automations are sequences of actions triggered by specific changes within a database. These automations consist of two main components: triggers (the cause) and actions (the effect).

Uses for Database Automations

  • Assign Tasks Automatically: Assign a task to a specific person when its status changes.

  • Send Notifications: Send a Slack notification when a new page is added.

  • Edit Across Databases: Update a property in one database when a property changes in another.

Important Notes

  • Availability: Full access to database automations is available for paid plan customers. Free plan users can create Slack notification automations and use, but not edit, automations included in templates.

  • Permissions: Automations can be created, edited, or deleted by anyone with full access, except for Slack automations, which can only be edited by their creator. If an automation targets a different database, you need at least Can edit permissions for that database.

How to Create a Database Automation

  1. Click ••• at the top of a database and select Automations.

  2. Add triggers:

    • Page added: When a page is added to the database or view.

    • Property edited: When a property is edited in the database.

  3. Add actions (details below).

  4. Click Save.

Automation Actions

  • Edit property: Modify properties of pages in the current database.

  • Add page to: Add a page to a chosen database and edit its properties.

  • Edit pages in: Modify pages and properties in a chosen database.

  • Send notification to: Notify up to 20 specific people in your workspace or those associated with a People property in your database. Add a custom message with the notification.

  • Send Slack notification to: Notify a specific Slack channel.

Managing Database Automations

To view and manage all automations for a database:

  1. Click at the top of a database (visible only if there are active automations).

  2. Hover over the automation and click •••.

  3. Select Edit, Pause, or Delete.
